Cannabase

Frequently asked

Straight answers.

The deposit, the data, the scope, the refund policy, and everything else — answered plainly.

Pilot and pricing

What do I get for the $1,000 deposit?

A data workspace, an AI diagnostic of your inventory and customer data, a 1:1 strategy call with the founder, a custom workflow roadmap, and one workflow built specifically for your operation. The $1,000 is a deposit toward the total project cost — not a subscription or a one-size-fits-all tool.

Is the $1,000 the total cost?

No. The $1,000 is a deposit. On the strategy call, we define exactly what to build — a new website, an inventory system, outreach tools, or some combination. That scope determines the total. The deposit counts toward whatever we build. If the project comes to $5,000, you owe the remaining $4,000 when we start the build.

Why only 10 pilot seats?

Every pilot includes hands-on founder involvement. A strategy call, a custom diagnostic, and a workflow built specifically for your shop. That takes real time. We cap at 10 so every operator gets that level of attention. When it fills, it goes to a waitlist.

Is there a monthly contract?

No. The pilot is one-time. Monthly plans are available after the pilot completes, but only if you decide to continue. No automatic billing, no pressure, no lock-in.

What happens after the pilot?

You review the diagnostic and the workflow we built. If you want to continue, you roll into a monthly plan at founding-partner pricing. Growth starts at $350/mo. Automation at $700/mo. You can also stop after the pilot with no further obligation.

Is there a refund policy?

Yes. We look at your data before the strategy call. If we cannot find a meaningful opportunity for your shop, we refund the deposit. No negotiation. The deposit is otherwise non-refundable because we invest real founder time into every pilot.

Data and uploads

What kind of files can I upload?

CSV and XLSX exports from any POS or compliance tool. Inventory exports, sales reports, Metrc transfer logs, customer purchase history — all of these work. If your POS can produce a report, we can read it.

What if my data is messy?

That is exactly the situation we are built for. Dispensary data is almost always messy — inconsistent column names, missing fields, partial records. The AI handles the cleaning and mapping. You do not need to format anything before uploading.

Do I need to be technical?

No. The upload process is simple. Export a file from your POS, upload it through your workspace, and we handle everything from there. If you can email a file, you can use Cannabase.

Can I upload sales, inventory, and customer data?

Yes. The more data you provide, the richer the diagnostic. Inventory exports, sales reports, and customer purchase history together give us the clearest picture. Each type of file unlocks a different layer of analysis.

What happens after I upload?

Cannabase reads and maps your data. Within a few days, you receive a preliminary diagnostic — plain-English findings about what is moving, what is sitting, and where the biggest opportunity is. Then we schedule the strategy call.

Can I delete my data?

Yes. You can request deletion of your uploaded files and workspace data at any time. We do not retain data beyond the scope of your pilot or monthly plan.

POS, Metrc, and compliance

Does Cannabase replace my POS?

No. Cannabase works from your POS exports. Your POS stays exactly as it is. We read what it already tracks and turn that data into decisions. Nothing changes in your daily operation.

Does Cannabase replace Metrc?

No. Metrc is your compliance system. We do not replace it and do not need direct API access during the pilot. A Metrc transfer export is enough to give us the compliance picture we need for the diagnostic.

What POS systems do you support?

Any POS that exports to CSV or XLSX. Dutchie, Flowhub, Cova, Treez, BLAZE, Meadow, Jane Technologies, GrowFlow, Dispense, and others. If your POS produces a report, we can read it.

Can you integrate directly with my POS or Metrc?

Direct integrations are on the roadmap. For the pilot, exports are all we need. The export-first approach also means there is nothing to install, configure, or maintain during the pilot phase.

Can you process cannabis payments?

Not in the pilot. Cannabis payment processing is on our roadmap as part of the Brand Solutions and Smart Storefront offering. It is not in scope for the founding pilot.

Security and privacy

Is my dispensary data secure?

Yes. Data is encrypted in transit (TLS) and at rest (AES-256). Each workspace is tenant-isolated — your data is never accessible to other accounts. We do not share, sell, or use your data across accounts.

Who can see my uploaded files?

Only you and the Cannabase founder can access your workspace during the pilot. No third parties, no offshore contractors, no shared analysis pipelines. Founder-led means your data stays close.

Do you sell or share my data?

Never. Your dispensary data is used only to prepare your diagnostic and build your workflow. It is not used to train shared AI models across accounts or sold to any third party.

Is Cannabase HIPAA-compliant or SOC 2-audited?

Cannabis dispensary data is not classified as healthcare data under HIPAA. We follow security best practices — encrypted storage, isolated tenants, access controls — and are working toward formal SOC 2 compliance. If you have specific compliance requirements, reach out directly.

Custom buildout and scope

What does 'one workflow built for your shop' mean?

On the strategy call, we identify the single highest-value action for your operation — a weekly reorder report, a dead stock alert, a customer lapse list, an automated briefing. We then build that specific workflow around your actual data and process. Not a template. Not a dashboard. One scoped thing that works for your floor.

Can you build my website?

Yes. A smart dispensary website with live menu integration, local SEO, and product education is part of Brand Solutions. It is available as part of the pilot scope or as a follow-on project after the inventory diagnostic.

Can you build customer outreach tools?

Yes, with prerequisites. Customer outreach requires customer purchase data, consent for contact, and a compliant outreach channel. We can build this as part of the pilot or as a follow-on. The inventory and brand foundations usually come first.

What is out of scope for the pilot?

Direct POS or Metrc API integrations, cannabis payment processing, multi-location enterprise builds, and customer outreach without proper consent and data infrastructure are all post-pilot or extended scope. The strategy call defines exactly what is in and out.

Can you build AI agents for my back office?

Yes. Custom AI workflows — automated reports, vendor analysis, staff briefings, reorder triggers — are part of AI Solutions and available in the pilot scope. The strategy call determines which one to build first.

Industry context

What is cannabis inventory management and why do dispensaries need it?

Cannabis inventory management is the practice of tracking product velocity, stock levels, and reorder timing across a dispensary's SKUs. Dispensaries need it because POS systems generate detailed transaction data but don't automatically surface which products are moving fast, which are sitting past their margin curve, or when to reorder before a stockout. Without inventory intelligence, operators make reorder decisions based on gut feel rather than actual sales velocity — which leads to Friday stockouts on top strains and dead stock on slow movers.

How do dispensaries lose money to dead stock and stockouts?

Dead stock costs twice: once in the margin you paid to acquire the product, and again when you're forced to discount it to clear the shelf. A mid-size dispensary can tie up $5,000–$10,000 in slow-moving inventory per quarter without realizing it. Stockouts are a different problem — they cost you the sale in the moment, plus the customer relationship if they go to a competitor and don't come back. Both problems are preventable with export-based velocity insights and early-warning flags.

What is the difference between a POS system and inventory intelligence?

A POS system records what happened: products sold, quantities, prices, customer IDs. Inventory intelligence answers what to do next: which items to reorder this week, which are dying on the shelf, which customers should be contacted before a product they love sells out. Your POS is the data source. Cannabase is the layer that reads that data and turns it into decisions.

How do dispensaries win back lapsed customers?

The most effective approach is to identify customers who have bought specific products multiple times, then reach out when those products come back in stock or when the customer has been absent for 21–30 days. Cannabase surfaces these customers from your POS data automatically — ranked by historical spend and recency — so you can reach out to the right people with the right message before they become someone else's regular.

What is GEO optimization and why does it matter for cannabis retail?

GEO (Generative Engine Optimization) is the practice of structuring a website's content so that AI-powered search engines like ChatGPT, Perplexity, and Google AI Overviews can accurately cite and recommend it. For cannabis dispensaries, this means when a potential customer asks an AI assistant 'best dispensary near me' or 'where can I find [strain]', the dispensary's website shows up in the answer. Cannabase builds dispensary websites with GEO optimization built in from day one — structured FAQ content, Organization schema, and AI-readable product and service descriptions.

How long does it take to get a diagnostic from Cannabase?

Within 48 hours of your first upload. You export a CSV or XLSX from your POS — any POS that generates a report — and upload it to your Cannabase workspace. We map the data, normalize it, and return a plain-English inventory diagnostic: velocity by strain and category, dead stock alerts, reorder priority list, and customer opportunity flags. A strategy call follows to scope your first workflow.
